Requirements: An active Crewhu account with Admin permissions.
Feature Description: Alows uploading a list of employees into Crewhu using a CSV file, making this process much quicker with just a few clicks.
Below is an example of an employee CSV file:
- The headers must be spelled exactly as in the table above, but the order of the columns can be changed;
- Additional columns with other headers and data will be ignored by the system;
- the data under the headers in red (First Name, Last Name, Email, and Profile) is mandatory;
- the data under the headers in blue (Employee ID, Birthday, Location, Team, Position, Hire Date, Managed Locations and Managed Teams) is optional;
- the data under the headers that are underlined (Managed Locations and Managed Teams) are optional and must be separated with a comma.
Our advice is to fill in all data related to employees in order to make the most of the program functionalities and reports.
Once your CSV file is ready, go to Setup > Employees > Upload CSV:
1 – Choose CSV file to upload. The file name will show in green as in the example above;
Note that in this example the fields Location, Team and Position were not filled in, so Crewhu will automatically create or update them with the information in your CSV. Because they are optional fields, it is also possible to leave these fields empty in the CSV and select the appropriate option from the dropdown menu (locations, teams and positions previously created). However, keep in mind that any information already contained in the CSV will replace any data selected in these fields.
2 – A Profile from the drop-down menu must be selected before continuing the upload process. Even though the Profile is a mandatory field on the CSV, you are still required to select an option from the drop-down menu. This will be replaced for the original information in the CSV file. If you do not select a profile, the system will stop you from moving on and display the following message:
3 – Checking this box will send an automated invitation to the employees on the list after the upload process is verified and saved. This optional invitation trigger is useful if you are uploading more than one employee list and wish to send an invitation to everybody at the same time at a later stage. To do this, go to Setup > Employee > Send Invite, and select the profiles you want to invite (or all of them), as shown in the image below:
4 – Click on Validate and the list below will appear to allow you to check the data that is about to be created/updated:
Note that the system will display a message in green showing the data that is about to be created. If there's something that needs to be changed, adjust your original CSV file and restart the process at Step 1.
5 – Click on Submit and your employees are ready to go.
